Summary

The Medical Secretary in Administrative Services coordinates diagnostic services for probation staff, including referrals, scheduling, and obtaining/distributing completed reports. Coordinates insurance enrollments for youth removed from their home and placed in a shelter, detention, residential, or inpatient facility. Uses advanced technology to record and report diagnostic case events.


Essential Duties

Coordinates all service referrals for probation staff, including referrals, provider decisions, and service enrollments.

Coordinates appointments and secures locations for diagnostic services.

Receives referral packets from probation officers (requesting diagnostic services); records all referral information in the case management system to ensure the maintenance of records.

Schedules diagnostic services and forwards completed referral packets to the service provider; records scheduled services in the case management system to ensure the maintenance of records.

Makes and receives phone calls with providers, usually regarding scheduling, rescheduling, and cancellation of appointments; relays messages to providers; notifies Probation Officers of cancellations and collaborates with Probation Officers on rescheduling missed or canceled appointments.

Maintains electronic and paper records to ensure all files contain required documentation.

Acts as a liaison between Probation Officers and providers to relay information to/from Probation staff and providers regarding case information, appointment schedules, and any other matters of mutual interest.

Process insurance enrollments for youth removed from their home and placed in a shelter, detention, residential, or inpatient facility.

Prepares and files notice of eligibility and continued eligibility with DPW for all youth in out-of-home placement.

Perform other related duties as required or directed.


Qualifications

High School graduate or equivalent with excellent typing skills.

Three (3) years responsible secretarial experience, including excellent phone manners.

Ability to function well in high-stress situations.

Overtime as needed to perform duties as required.


Working Conditions

Normal air-conditioned office.

Hours: 8:30 AM to 4:30 PM. 35 hours/week.
