Summary

The Probate Clerk is responsible for the Probate of Wills and the issuance of Letters Testamentary or Letters of Administration. The Probate Clerk is a sworn officer which the Probate Clerk to swear in the Executor or Administrator of the Estate.

 

Essential Duties

Under the direction of the Register of Wills and Department Deputies, the Probate Clerk:

  • Issues letters which include evaluating validity of a will, verifying format and signatures, obtaining necessary witness Affidavits, and processing probate paperwork
  • Issues Letters of Administration which includes following the Commonwealth of PA laws of Intestacy for appointing an Administrator, preparing probate petitions, processing probate paperwork, and issuing shorts certificates and Letters of Administration
  • Assists in the preparation of Commissions to other counties/states for Executors or Administrators to be sworn in
  • Processes postal mail, email and telephone inquiries requesting information regarding the probate of estates
  • Assists the public and attorneys with completion of online probate application
  • Assists the deputies, staff, lawyers and public with issues/questions/problems related to Probate
  • Performs other duties as assigned

Qualifications

  • High school graduate or equivalent
  • Strong computer skills, including Microsoft Office
  • Strong verbal and written communication skills
  • Able to multitask, prioritize, and manage time efficiently
  • Prior office or legal experience preferred
  • Excellent customer service

Computer Skills

To perform this job successfully, an individual should have:

  • General computer skills
  • Basic Word skills
  • Basic Excel skills
  • Basic Microsoft Outlook skills (Email and Calendar)
  • Basic Internet skills (for research purposes).

Physical Demands

While performing the duties of this position, the employee is frequently required to stand, walk, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height; kneel, stoop, crouch or squat; crawl; climb stairs; climb or work on a ladder; twist or rotate at the waist while working; push, lift or carry items; work with office machinery, and work with an uncommon level of noise.
